Salesforce CRM Operations Coordinator

Job Overview

Our client is looking for a Salesforce CRM Operations Coordinator to own CRM hygiene, reporting, and operational support across the Growth function and the broader company team. Growth Operations keeps the sales system of record clean, accurate, and current, and produces the reports that drive weekly and monthly pipeline decisions.

The role supports Business Development, Proposal Development, and Content Development on operational tasks that require data entry, list management, meeting logistics, and research. The Growth Operations Assistant also provides direct operational support to the Head of Growth and contributes to cross-functional projects that serve the Consulting team and Cultivate leadership. The role works alongside the Head of Growth on priorities and cadence.

Schedule

  • Monday - Friday, 11:00 AM - 4:00 PM Eastern Time plus 3 flexible hours (40 work hours per week)

Responsibilities

  • Maintain all Salesforce records, including accounts, contacts, opportunities, and activities, to defined data quality standards, with daily audits for accuracy and completeness
  • Produce weekly pipeline reports, monthly performance dashboards, and ad hoc reports on request for the Head of Growth and the broader Growth team
  • Build and maintain target account lists, prospect lists, and distribution lists for business development and content outreach
  • Identify and correct missing or outdated contact information for target accounts and active opportunities
  • Process signed contracts in Salesforce and transition opportunity data to the Consulting team
  • Support meeting logistics for prospecting, discovery, and proposal conversations, including scheduling and follow-up tracking
  • Compile and organize meeting notes from Growth team conversations for distribution and future reference
  • Organize and maintain shared tools and repositories used by the Growth team, including SharePoint, Slack, Salesforce, and Asana
  • Provide direct operational support to the Head of Growth, including scheduling, task logging on Salesforce, client gifts, and ad hoc requests
  • Support cross-functional projects for the Consulting team and Cultivate leadership, including research, coordination, and operational assistance as requested
  • Assist with research and special projects as assigned by the Head of Growth
  • Flag data quality, process, and system issues to the Head of Growth with recommended fixes

Requirements

  • 5+ years of experience in operations, sales operations, CRM administration, executive support, or a similar role
  • Hands-on experience with Salesforce CRM (required)
  • Strong proficiency in Microsoft Excel and Google Sheets for reporting and data management
  • Experience creating reports, dashboards, and maintaining accurate CRM data
  • Excellent organizational skills with strong attention to detail
  • Ability to manage multiple priorities and meet deadlines in a fast-paced environment
  • Professional written and verbal English communication skills
  • Experience with Asana, SharePoint, Slack, or similar collaboration tools is preferred
  • Strong research, problem-solving, and analytical skills
  • Ability to work independently while supporting cross-functional teams
