Job Overview
Our client is seeking a proactive, highly organized Executive Assistant to support a dynamic multi-business entrepreneur operating across management consulting, healthcare, software development, and the nonprofit sectors. This is not a traditional, siloed administrative role. You will act as the operational right hand to the business owner, managing a complex, multi-entity portfolio. Schedule
Monday - Friday, 9:00 AM - 6:00 PM MST, with 1 hour unpaid break (40 work hours per week)
Responsibilities
Email & Calendar Support
- Inbox Checking: Help monitor and organize email inboxes, sorting spam, flagging urgent messages, and drafting routine replies.
- Scheduling: Coordinate and schedule appointments, client meetings, and personal calendar reminders across time zones.
- Travel Assistance: Help research flights, hotels, and travel options, and organize basic itineraries.
Basic Financial & Admin Tasks
- Data Entry: Keep track of basic expenses, organize digital receipts, and input data into spreadsheets.
- Documentation: Help organize files in Google Drive or OneDrive, ensuring documents are easy to find.
General & Lifestyle Support
- Online Research: Conduct simple online research for various business projects, vendor options, or personal requests.
- Online Shopping: Assist with standard online procurement, ordering office supplies, or handling personal shopping tasks as directed.
Requirements
- Experience: 2 years and above of experience as a Virtual Assistant, Executive Assistant, or Office Clerk.
- Tech-Savvy: Solid basic knowledge of Google Workspace (Gmail, Docs, Sheets) and Microsoft Office. Must be comfortable learning new online tools.
- Inbox & Calendar Management: Proven experience managing multiple calendars or email accounts simultaneously.
- Reliable Communication: Good written and verbal English communication skills with a polite and helpful attitude.
- Organization: Strong attention to detail and the ability to follow step-by-step instructions carefully.
- Trustworthiness: High level of integrity when handling routine business and personal information.
- Experience with QuickBooks Online or basic bookkeeping is a plus, but not required.
