Job Overview

This is a critical administrative role focused on processing, organizing, and distributing royalty statements received from publishers to authors twice annually and throughout the year. The role requires meticulous attention to detail and the ability to handle high volumes of digital documents during peak statement periods. This position is essential for ensuring authors receive accurate, timely royalty information in an organized and confidential manner.

Schedule

  • 20 hours per week; Monday to Friday; Flexible between 9:00 AM - 5:00 PM New York Eastern Time

Responsibilities

  • Candidate should be available during regular business hours aligned with US timezone.
  • Download royalty statements from various publishers in PDF format and organize them by client and book title.
  • Separate bundled royalty statements containing multiple authors into individual PDF documents for each author.
  • Upload individual royalty statements to the company's software system for automated distribution to authors.
  • Maintain confidentiality by ensuring proprietary author information is not shared across clients during the separation process.
  • Process statements from multiple publishers with varying formats and submission schedules throughout the year.
  • Perform quality checks to ensure each author receives only their relevant royalty statement information.
  • Manage high-volume processing during peak periods when thousands of royalty statements arrive simultaneously.

Must-Have Requirements

  • Proven experience with PDF document management including downloading, separating, saving, and uploading digital files.
  • Strong organizational skills with demonstrated ability to handle high volumes of documents accurately and efficiently.
  • Excellent attention to detail with ability to identify and separate information within complex multi-author statements.
  • Proficiency with document management software and ability to learn new systems quickly.
  • Reliable internet connection and appropriate home office setup for remote work.

Nice-To-Have Requirements

  • Previous experience working with royalty statements or financial documents in the publishing industry.
  • Familiarity with major publishing houses and their royalty reporting processes.
  • Experience using AI tools or document processing automation software.
  • Background in financial data entry or contract administration.
