Job Overview
Our client is seeking an exceptional, highly seasoned Executive Business Partner to serve as the Founder’s trusted right hand within a fast-growing Australian fintech business. This is not a traditional Executive Assistant role. We are looking for a commercially minded operator with more than 10 years of experience supporting senior executives, founders, or business leaders in high-growth environments. The ideal candidate has the executive presence, business acumen, and confidence to make decisions, engage directly with clients and stakeholders, challenge ideas when necessary, and act as an extension of the Founder.
 
You will be deeply embedded in the day-to-day operations of the business, ensuring priorities move forward, bottlenecks are removed, and critical initiatives are executed with urgency and precision. This role requires someone who thrives in ambiguity, remains calm under pressure, and can transition seamlessly between strategic conversations and hands-on execution.

Schedule: Flexible schedule within 6:00 AM – 10:00 PM AEST (40 hours per week)

Key Responsibilities
Strategic Partnership & Operational Leadership
Act as the Founder's trusted advisor and extension of leadership.
Make informed decisions on operational matters within delegated authority.
Drive execution of key initiatives and ensure follow-through across teams.
Anticipate business needs, identify risks, and proactively implement solutions.
Prepare the Founder with concise briefings, recommendations, and decision points.
 
Stakeholder & Client Management
Represent the Founder professionally in interactions with clients, partners, and senior stakeholders.
Lead and facilitate meetings on behalf of the Founder when appropriate.
Build strong relationships internally and externally while maintaining credibility and discretion.
Navigate sensitive conversations with diplomacy and sound judgment.
 
Cross-Functional Business Oversight
Coordinate priorities across Operations, Finance, Legal, and external providers.
Ensure critical projects remain on track and escalate issues with proposed solutions.
Monitor key deliverables, deadlines, and strategic initiatives across multiple entities.
Establish processes that improve efficiency and accountability.
 
Executive Operations
Manage a complex and ever-changing calendar across multiple time zones.
Coordinate high-priority meetings, ensuring preparation materials and follow-up actions are completed.
Oversee global travel arrangements, including contingency planning and last-minute changes.
Handle confidential communications and executive correspondence with exceptional professionalism.
 
Communication & Decision Support
Draft executive communications, presentations, reports, and briefing documents.
Filter and prioritize incoming requests based on strategic importance.
Exercise independent judgment to determine what requires the Founder’s attention and what can be resolved autonomously.
Serve as a sounding board and thought partner on operational and business matters.
 
Candidate Profile
10+ years of experience supporting Founders, CEOs, C-suite executives, or entrepreneurs in high-growth environments.
Demonstrated experience operating beyond traditional Executive Assistant responsibilities.
Strong business acumen with the ability to understand commercial and operational implications.
Executive presence and confidence interacting with senior stakeholders and clients.
Highly agile, adaptable, and capable of shifting priorities in fast-paced environments.
Exceptional emotional intelligence, discretion, and maturity.
Naturally proactive with a strong bias toward action and ownership.
Comfortable making decisions and solving problems independently.
Outstanding written and verbal communication skills.
Highly organized without losing sight of the bigger picture.
 
Requirements
Mandatory
  • Minimum of 10 years of experience in Executive Assistant, Chief of Staff, Executive Business Partner, or equivalent leadership support roles.

    Previous experience directly supporting a Founder, CEO, or senior executive in a dynamic business environment.

    Proven ability to manage operations, stakeholders, and cross-functional initiatives with minimal supervision.

    Experience handling high-level client and external stakeholder communications.

    Strong proficiency with modern business tools, including project management platforms, CRMs, and collaboration technologies.

    Demonstrated ability to influence outcomes and drive accountability across teams.

The successful candidate will quickly become indispensable to the Founder—protecting their time, driving execution, representing the business with credibility, and ensuring the organization operates efficiently without requiring constant oversight.

Side Note
This is a permanent work-from-home role under an Independent Contractor arrangement. Candidates must have their own computer and reliable internet connection and are responsible for their own taxes and benefits. Professional hourly fees will be determined based on experience, demonstrated capability, and performance throughout the recruitment process.
