Job Overview
Our client is seeking a highly organized and detail-oriented Real Estate Sales Coordinator to support the sales and leasing teams with administrative coordination, lease drafting, CRM management, and document processing. This role is primarily responsible for preparing rental agreements, managing leasing documentation, tracking signatures, and maintaining accurate records within HubSpot CRM. The ideal candidate must be able to hit the ground running in a fast-paced environment and provide reliable administrative support to on-site teams. Extensive hands-on HubSpot CRM experience is vital and strictly non-negotiable for this role, as the successful candidate will spend a significant portion of their day managing CRM records, supporting leasing administration, and maintaining data accuracy for the sales teams.
Schedule
Friday - Tuesday, Weekdays: 12:00 PM - 8:00 PM PST; Weekends: 10:00 AM - 5:00 PM PST (34 work hours per week)
Responsibilities
- Prepare and coordinate rental and leasing agreements, ensuring all required documents, signatures (utilizing DocuSign and Authentisign), and supporting paperwork are accurately completed and filed.
- Maintain accurate and up-to-date records, lead activity, and leasing data within HubSpot CRM, providing essential administrative coordination and data management support to the sales and leasing teams.
- Coordinate follow-ups and communicate professionally with prospects, residents, and internal stakeholders.
- Handle sensitive applicant and resident information with professionalism, discretion, and strict confidentiality.
Requirements
- HubSpot CRM (Non-Negotiable): Minimum 2 years of recent, hands-on HubSpot CRM experience in a sales support or leasing coordination role. Must be able to manage workflows and records independently.
- Document Management: Strong working knowledge of DocuSign and Authentisign.
- Communication & Organization: Excellent written and verbal English communication, strong organizational and time management skills, and high attention to detail.
- Software Proficiency: Proficient with Microsoft Office and Google Workspace.
- Work Ethic: Ability to work independently in a fast-paced remote setting, while maintaining professionalism and strict confidentiality.
- Preferred Industry Experience: Previous experience in real estate, property management, leasing, or supporting sales teams is highly preferred.
Highly Regarded Skills and Experience
- Previous experience in the real estate or property development industry.
- Familiarity with project management tools such as Asana, Trello, or Monday.com.
- Experience in lead generation or basic marketing coordination.
- Advanced skills in data visualization or reporting.
