Finance & Legal Admin Assistant

About the Role

We are a Melbourne-based immigration law firm looking for a reliable, detail-oriented Legal Finance & Administration Assistant to support our principals with financial administration and light immigration matter support.

This is primarily a finance and admin role -- not a legal one. You don't need a law degree. We want someone who is detail-oriented, impeccably organized, good with numbers, and able to communicate clearly. If you can keep clean books, spot problems before they escalate, and help us run a tighter finance operation, you'll fit right in.

Schedule

  • 10 hours per week, split across two half-days (Monday/Thursday)

Key Responsibilities

Finance & Bookkeeping (Core Focus)

  • Reconcile Xero against bank accounts and update transaction records including invoices
  • Maintain accounts payable and receivable ledgers
  • Prepare payment schedules and supporting documentation for principal approval
  • Follow up on overdue invoices and outstanding reimbursements
  • Record and reconcile visa application fees and government disbursements per client matter
  • Prepare and maintain disbursement schedules for active immigration files
  • Assist with client billing for immigration-related charges

Monthly & Periodic Tasks

  • Produce monthly financial reports against budget
  • Complete month-end bank, credit card, and trust account reconciliations
  • Assist with payroll preparation
  • Liaise with external accountant as needed

Immigration & General Admin Support (Ad Hoc)

Help organize client financial documentation against immigration checklists

  • Support the Paralegal with Excel and numbers-based tasks
  • General finance and administration tasks to reduce principal workload

What We're Looking For

  • Proficient in Microsoft Excel -- comfortable with formulas and basic data manipulation
  • Hands-on experience with Xero
  • Familiar with Australian bookkeeping requirements, particularly GST classification
  • Strong written English -- clear, professional communication matters in this environment
  • Detail-driven and process-minded -- you catch errors before they become problems
  • Discreet -- you will handle sensitive personal and financial information
  • Self-sufficient -- able to work through issues with the end objective in mind
  • Background in business, finance, or administration preferred

What Success Looks Like

  • Financial records are accurate, up to date, and audit-ready
  • Principals spend less time on reconciliation and invoice follow-up
  • Immigration disbursements are tracked cleanly per matter
  • You identify at least one process improvement within the first 6 weeks
