Bookkeeper & Administrative Assistant

Job Overview:

We are seeking a proactive and detail-oriented Bookkeeper & Administrative Assistant to play a pivotal role in keeping our dual-entity operations running like clockwork. In this dynamic role, you will hold the keys to our financial day-to-day, expertly navigating Xero, FreeAgent, and ProHire to ensure our ground transport and logistics businesses stay perfectly reconciled. Beyond the numbers, you will act as a trusted operational partner to the directors, directly freeing up their capacity to drive revenue and scale the business. Schedule:

  • Monday - Friday 12:00 PM – 05:00 PM, UK hours (20 hours per week)

Responsibilities:

  • Multi-Entity Bookkeeping: Manage day-to-day bookkeeping across two sister companies within the ground transport and events logistics sector, utilizing Xero (Locker Nine) and FreeAgent (Locker Nine Live).
  • Data Integration: Download invoices from the ProHire rental system and upload them into FreeAgent, ensuring accurate data transfer between non-integrated platforms.
  • Reconciliation: Match and reconcile incoming transactions and invoices across both accounting systems.
  • Financial Reporting: Prepare and distribute weekly financial summary reports to directors, highlighting incoming revenue, outgoing costs, and overdue invoices.
  • Director Support: Provide general administrative and operational support to free up director capacity for revenue-generating activities.
  • Records Management: Maintain organized records of purchase orders, invoices, and financial documentation across both entities.
  • Role Evolution: Adapt to a scaling environment with the potential to take on broader operational and administrative tasks, with the scope to increase working hours as both companies expand toward the end of the year.

Requirements:

  • Proven experience with Xero and FreeAgent accounting platforms
  • Solid bookkeeping background with the ability to manage accounts for multiple entities simultaneously
  • Experience working with ProHire or similar rental management systems is a plus
  • High level of attention to detail and accuracy in financial data entry and reconciliation
  • Strong written communication skills for reporting and director correspondence
  • Ability to work independently with minimal supervision during UK afternoon hours
