About the Role

We are seeking a customer-focused and highly organized Customer Service Representative to serve as the primary point of contact for our customers. In this role, you will handle inbound and outbound communications, coordinate scheduling, maintain accurate CRM records, and help ensure a seamless customer experience from initial contact through job completion.

Work Schedule: Full-time (40 hours/week), Monday to Friday 9am to 6pm CST with one hour of unpaid break 

Key Responsibilities

  • Answer inbound customer calls and make outbound calls to address inquiries, provide support, and deliver exceptional customer service.
  • Schedule, confirm, and manage customer appointments using the company’s scheduling system.
  • Maintain accurate and up-to-date customer and job records within the CRM platform.
  • Coordinate with internal teams to optimize scheduling and minimize service gaps.
  • Follow up with customers to confirm appointments, collect feedback, and ensure overall satisfaction.
  • Monitor job progress and accurately close out completed jobs in the CRM system.
  • Serve as the primary point of contact for customer communications and service-related inquiries.

Requirements

  • Previous customer service experience, preferably within the HVAC, home services, or related industry.
  • Excellent verbal communication skills with a professional, friendly, and customer-first approach.
  • Experience using CRM systems and scheduling software.
  • Strong attention to detail and accuracy when managing appointments and customer records.
  • Ability to work independently, stay organized, and effectively manage multiple priorities in a fast-paced environment.
  • Strong problem-solving skills and a proactive mindset.

Scope of Work

  • Full-time position (40 hours per week).
  • Schedule aligned with U.S. Central Time business hours.
  • Manage day-to-day scheduling operations to keep field teams organized and productive.
  • Support company growth by delivering a positive and seamless customer experience throughout the service lifecycle.
  • Ensure all customer interactions, appointments, and job records are handled accurately and efficiently.
