Talent Acquisition Sourcing Administrator

Job Overview

Our client is looking for a dedicated and highly organized Talent Acquisition Sourcing Administrator to support their staffing operations. In this role, you will play a crucial part in candidate sourcing, screening, administration, and maintaining accurate records within the recruitment CRM. This is an excellent opportunity for a proactive professional to contribute to a fast-paced team while working fully remotely.

Schedule

Monday - Friday, 9:00 AM - 6:00 PM Melbourne Time, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Source candidates through recruitment platforms, job boards, LinkedIn, and internal databases.
  • Conduct initial candidate screening and telephone interviews to assess suitability for temporary and permanent opportunities.
  • Maintain regular communication with candidates throughout the recruitment process.
  • Coordinate interviews, candidate availability, and placement schedules.
  • Complete reference checks and ensure all compliance documentation is collected and verified.
  • Assist with staffing bookings and placement coordination across multiple locations.
  • Maintain accurate and up-to-date candidate records within the recruitment CRM system.
  • Update candidate notes, availability, and placement history as required.
  • Manage recruitment inboxes and respond to candidate inquiries in a timely manner.
  • Prepare candidate profiles, resumes, and submission documents for client presentation.
  • Ensure all recruitment documentation is completed, filed, and maintained accurately.
  • Make outbound calls to candidates regarding interviews, availability, assignments, and follow-up activities.
  • Liaise with candidates regarding temporary bookings and assignment details.
  • Provide day-to-day administrative and recruitment support to consultants.
  • Assist with payroll and timesheet administration when required.
  • Contribute to maintaining a positive candidate experience and efficient recruitment process.

Requirements

  • Previous experience in recruitment, talent sourcing, resourcing, recruitment administration, or virtual assistant roles.
  • Experience using recruitment CRM systems such as JobAdder or similar platforms.
  • Experience supporting temporary recruitment, labour hire, or staffing operations is advantageous.
  • Experience working remotely with Australian businesses is highly regarded.
  • Real estate industry experience is a plus
  • Experience using LinkedIn Recruiter and similar sourcing tools is advantageous.
  • Familiarity with cloud-based phone systems such as 8x8 is beneficial.
  • Professional written and verbal communication skills.
  • Proficiency in Microsoft Outlook and Microsoft Office Suite.
  • Strong administrative and data management skills
