Overview
We are seeking a highly organized and proactive Bilingual Operational Admin Assistant to support our sales and customer engagement efforts. This role serves as the first point of contact for prospective buyers, ensuring inquiries are handled promptly while maintaining an organized and efficient sales pipeline.
Schedule:
- Hours: Part-time, 20 hours per week
- Days: Monday through Friday
- Time: 10:00 AM – 2:00 PM Arizona Time
Responsibilities
- Respond to customer inquiries in both English and Spanish via Facebook Messenger, ensuring timely and professional communication.
- Schedule, coordinate, and confirm property viewing appointments with prospective buyers.
- Manage and maintain lead records within GoHighLevel CRM, ensuring data accuracy and pipeline organization.
- Execute email outreach campaigns and follow-up calls to nurture prospects throughout the sales process.
- Utilize AI tools such as ChatGPT to draft communications, streamline workflows, and improve efficiency.
- Collaborate closely with the business owner to manage priorities and daily operations through Microsoft Teams and other communication platforms.
- Support process improvement initiatives and help build scalable outreach and follow-up systems.
- Serve as the primary contact for inbound buyer inquiries across messaging and CRM channels.
- Maintain accurate records and support the ongoing optimization of sales workflows.
- Provide exceptional bilingual support to both English- and Spanish-speaking prospects.
- Help create repeatable processes that improve lead nurturing and conversion rates.
Requirements
- Professional fluency in both English and Spanish (written and verbal).
- Previous experience using CRM platforms for lead management and customer communications.
- Strong written and verbal communication skills with a professional, customer-focused approach.
- Excellent organizational skills and attention to detail.
- Ability to work independently and manage tasks effectively in a remote environment.
- Comfortable using social media messaging platforms for customer engagement.
- Experience with GoHighLevel, ChatGPT, or similar tools is a plus.
