Job Overview

We are seeking a detail-oriented and reliable Bookkeeper & Administrative Assistant to support our day-to-day financial and administrative operations. This role will primarily focus on accounts payable, bank reconciliations, Xero bookkeeping, and administrative support, with opportunities to expand into accounts receivable as the business grows.

The ideal candidate has previous experience supporting Australian businesses, is confident using Xero, and can work independently while maintaining a high level of accuracy and professionalism.

Schedule: 4 hours per day, 5 days a week (20 hours per week total), Australian Eastern Standard Time (Gold Coast, Australia timezone)

Responsibilities

  • Process and manage incoming invoices accurately and in a timely manner
  • Prepare and issue outgoing invoices as the role evolves
  • Perform bank reconciliations and maintain accurate financial records in Xero
  • Set up new employees in internal systems, including superannuation fund registration
  • Prepare tax documentation and financial reports for the external accountant
  • Handle email correspondence, data entry, and general administrative support tasks
  • Maintain organized digital records and financial documentation
  • Support the business owner with ad hoc administrative and bookkeeping tasks

Requirements

  • Minimum 2 years of bookkeeping experience, ideally supporting Australian clients
  • Strong proficiency in Xero accounting software
  • Familiarity with Australian tax requirements, BAS, and superannuation obligations
  • Excellent attention to detail and accuracy in financial record-keeping
  • Strong written and verbal English communication skills
  • Ability to work independently with minimal supervision
  • Highly organized with strong time management skills
  • Experience handling administrative tasks alongside bookkeeping responsibilities is preferred
