Schedule
- Monday – Friday, 8:00 AM – 4:30 PM Eastern Standard Time (EST) (40 hours per week)
Responsibilities
1. Inbox & Calendar Gatekeeping
- Active Triage: Audit, prioritize, and ghostwrite responses for incoming executive emails; screen communications to serve as a protective gatekeeper for the President's time.
- Complex Scheduling: Architect and maintain the President’s complex master calendar, strategically resolving multi-timezone scheduling conflicts involving global stakeholders.
- Daily Briefings: Formulate and deliver a concise, high-yield morning digest detailing scheduled meetings, contextual background notes, and critical action items.
2. Strategic Support & Board Management
- Meeting Infrastructure: Coordinate all backend logistics for virtual and in-person board meetings across Zoom, Microsoft Teams, and enterprise teleconferencing suites.
- Executive Assets: Build premium corporate briefing packs, compile agendas, and polish professional slide decks for high-stakes presentations.
- Minutes & Accountability: Attend high-level meetings to capture accurate minutes, systematically tracking and chasing down deliverables from internal and external project leads.
3. Global Travel & Expense Management
- Concierge Itineraries: Coordinate end-to-end global travel itineraries spanning multiple international cities, sourcing flights, premium accommodations, and private ground transport.
- Logistics & Compliance: Manage corporate travel benefits, loyalty points, and credits while taking full ownership of visa applications, passport renewals, and varying international entry protocols.
- Financial Reconciliation: Process corporate expenses, ensuring clean digital receipt classification, precise budget tracking, and timely reimbursement filings.
4. Lifestyle Management & Discretion
- Real-Time Travel Sync: Maintain steady, agile communication with the President during transit, adjusting schedules, connecting flights, and resolving logistical disruptions on the fly.
- High-End Curation: Conduct detailed research to source premium corporate gifts, custom dining reservations, and curated travel/wellness packages.
- Information Security: Maintain strict confidentiality guidelines, handling sensitive corporate data, legal records, and personal profiles with complete integrity.
Candidate Profile & Requirements
- Executive Experience: 4+ years of dedicated professional experience as a virtual or in-person Executive Assistant supporting C-Suite, President, or Director-level principals.
- Timezone Agility: Proven capacity to orchestrate operations and handle schedules seamlessly across multiple global regions (e.g., US, Europe, APAC).
- Technical Mastery: Master-level proficiency navigating both Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace, along with core remote platforms (Slack, Zoom, Teams).
- Travel IQ: Strong working knowledge of international corporate travel coordination, commercial flight routing, and global entry compliance frameworks.
- Personality Matrix: Exceptional emotional intelligence, a secure and confident boundary-setting communication style, and an instinctual drive to build operational systems rather than waiting for instructions.
