Role Overview
We are seeking a compassionate and confident Patient Intake & Sales Specialist to support lead follow-up, patient communication, and appointment scheduling for a growing healthcare practice. This role combines patient intake coordination, lead nurturing, appointment setting, and CRM pipeline management, making it ideal for someone who is empathetic, organized, and comfortable speaking with patients in a healthcare-focused environment.
Schedule: Full-Time (37+ hours per week)
Must include: Monday: 9 AM – 7 PM = 10 hours
Tuesday: 10 PM – 7 PM = 9 hours
Wednesday: 9 AM – 5 PM = 8 hours
Thursday: 9 AM – 7 PM = 10 hours
Patient Intake & Lead Follow-Up

Conduct outbound follow-up calls to leads generated through social media and marketing campaigns

Use established scripts and conversational frameworks to qualify prospective patients

Build rapport with patients while maintaining professionalism and empathy

Educate prospective patients about the clinic’s treatment process and next steps
Appointment Scheduling & Pipeline Management

Schedule and confirm appointments across clinic locations

Follow up consistently with leads who do not schedule during the initial interaction

Manage non-responsive leads through strategic SMS and phone follow-up sequences

Maintain an organized and updated pipeline within the CRM system
Patient Communication & Customer Experience

Provide compassionate support to patients experiencing chronic pain or neuropathy-related symptoms

Maintain professional communication standards for all patient interactions

Ensure accurate documentation of lead conversations, appointment statuses, and follow-up activities

Support a positive patient experience from first contact through scheduling
Requirements

Strong confidence and professionalism on the phone

Excellent English communication skills for U.S.-based patient interaction

Previous experience in healthcare, patient intake, appointment setting, or sales environments

Ability to follow scripts naturally while building authentic rapport

High level of empathy and emotional intelligence

Experience using CRM systems and maintaining organized pipelines

Strong organizational and follow-up skills

Comfortable working independently in a remote environment
