Admin Assistant (NDIS / ShiftCare)

Job Overview

We are seeking a highly organized and detail-oriented Admin Assistant with experience in NDIS administration and backend operations. This role is ideal for someone who thrives in structured administrative environments, has strong written communication skills, and is confident working independently within compliance-driven processes.

The successful candidate will support the business through accurate data management, care plan creation, backend administration, and professional email coordination with families and participants. This is a fully remote role focused entirely on backend and email-based tasks, with direct collaboration with the Company Founder.

Schedule: (40 hours a week), Monday to Friday 8 AM to 5 PM
Client time-zone: Australian Eastern (Queensland)

Key Responsibilities

  • Platform & Data Management: Input, update, and maintain participant and operational records within the ShiftCare CMS platform while ensuring data integrity.
  • Documentation & Care Plans: Create detailed care plans from provided information, utilizing AI tools to streamline workflows and documentation development.
  • Email Coordination: Liaise professionally with participants and families via email to secure missing documentation, service agreements, and required information.
  • Compliance Support: Ensure all backend administration, service agreements, and digital records strictly align with NDIS compliance and government standards.
  • Founder Collaboration: Review backend data for operational efficiency and work closely with the Founder to complete administrative priorities.

Requirements

  • Previous experience working within the NDIS framework or strong knowledge of NDIS processes and compliance requirements
  • Hands-on experience using ShiftCare or similar care management/CMS platforms
  • Excellent written English communication skills, particularly for professional email correspondence
  • Exceptional attention to detail and accuracy in data entry and documentation
  • Experience using AI tools to streamline administrative workflows and improve productivity
  • Previous experience in HR administration, business administration, or general administrative support
  • Strong organizational and time management skills
  • Ability to work independently while following established processes and guidance
  • Comfortable managing repetitive backend administrative tasks with consistency and precision
  • Reliable high-speed internet connection and suitable remote work hardware

Preferred Qualifications

  • Prior experience supporting disability services, healthcare, aged care, or community care organizations
  • Familiarity with service agreements, participant onboarding, and compliance documentation
  • Experience improving backend administrative systems and workflows
  • Strong adaptability to evolving systems and AI-enabled processes
