Schedule: Flexible, with overlap required during New Zealand business hours (7:00 AM – 10:00 AM or 3:00 PM – 5:00 PM) 20 hours per week

Responsibilities
Construction Administration & Client Documentation
- Prepare detailed construction proposals and quotations using project information and pricing provided by the owner
- Assist with preparation and formatting of construction contracts and supporting documentation
- Ensure all client-facing documents are professionally formatted and presented
- Organize and maintain project documentation and digital filing systems
- Support proposal follow-ups and enquiry tracking workflows
Marketing & Business Development Support
- Review, update, and optimize the company website, including SEO improvements
- Assist with migration and modernization of the existing website infrastructure where needed
- Manage ongoing content posting across Facebook, Instagram, and LinkedIn
- Maintain and optimize the company’s Google Business Profile
- Collect, organize, and promote project photos, testimonials, and completed work
- Create blog posts, marketing copy, and content supporting the company’s service offerings
- Support lead tracking and follow-up initiatives to improve conversion opportunities
CRM & Operational Support
- Manage CRM systems and maintain organized enquiry tracking
- Support invoice preparation and debtor follow-up processes
- Create templates, workflows, and systems to improve operational efficiency
- Maintain organized communication and administrative tracking systems
- Assist the owner with identifying process improvements and operational efficiencies
Requirements
- Proven experience in administrative support, marketing coordination, or operational support roles
- Strong experience with WordPress website management and SEO best practices
- Excellent organizational and document formatting skills
- Experience managing business social media accounts and content calendars
- Strong written English communication and copywriting abilities
- Ability to work independently and proactively within a remote environment
- High attention to detail and ability to manage multiple workflows simultaneously
- Comfortable learning and improving operational systems and processes
Nice to have
- Experience supporting construction, trades, or service-based businesses
- Familiarity with CRM systems, lead tracking, and operational workflows
- Experience with Google Business Profile optimization and local SEO
- Basic graphic design or Canva experience for social media and marketing materials
