Enrollment & Billing Coordinator

Job Overview

Our client is looking for an Enrollment & Billing Coordinator to be the frontline champion for families, managing everything from day-to-day enrollment logistics to complex account and billing inquiries. This is a fully remote position that requires a high degree of autonomy. You will need to manage your time effectively, ensure no detail slips through the cracks, and deliver a warm, professional, and world-class customer experience in every email interaction.

Schedule

  • Monday - Friday, 8:00 AM - 5:00 PM AEST, with 1 hour unpaid break (40 work hours per week)

Responsibilities

Customer Care & Booking Management

  • Email Management: Respond to parent enquiries via email in a timely, empathetic, and professional manner.
  • Logistics & Changes: Process program bookings, cancellations, and schedule changes on behalf of families efficiently.
  • Guided Support: Provide clear, accurate guidance on session availability, program details, and booking policies.
  • CRM Accuracy: Meticulously record all customer interactions in our system and ensure all follow-ups are completed within required timeframes.

Account, Billing & Finance Support

  • Account Resolution: Assist families with detailed account enquiries, including invoices, statements, and payment history.
  • Payment Processing: Handle payment arrangements, part-payments, and account adjustments strictly in line with internal compliance procedures.
  • Government Subsidy Administration: Assist families by preparing and submitting required data to Centrelink.
  • Credit Control Collaboration: Work closely with our internal finance team to assist with the proactive management and resolution of overdue accounts.

Requirements Experience & Skills

  • The Written Word: Clear, polished, and professional written communication skills are a must.
  • Industry Experience: Proven experience handling parent/family emails and managing customer accounts/invoicing.
  • Autonomy: A strong ability to work independently without constant monitoring, ensuring your hours are used productively and effectively.
  • Eagle Eye: Excellent attention to detail—you catch the small errors that others miss.
  • Customer-Centric Mindset: A deep commitment to delivering an exceptional customer experience with every single interaction.
