We are seeking for Executive Assistant & Operations Coordinator (Faith-based NPO) that frees up leadership to focus on strategic growth and community impact. This role offers the rare opportunity to shape systems and processes in a mission-driven environment where your work directly contributes to serving the community. You’ll take ownership of essential administrative functions while working alongside passionate volunteers and coordinators who are committed to making a difference.
Schedule: 20 hours per week, Monday to Friday flexible schedule with some meetings in the evenings | Canada Time Zone
Responsibilities:
- Create and manage comprehensive meeting agendas for organizational leadership meetings
- Proactively track and follow up on assigned tasks to ensure timely completion
- Manage CEO calendar and coordinate scheduling across multiple stakeholders
- Collaborate with social media coordinator to maintain consistent online presence
- Handle email management and correspondence with professionalism and attention to detail
- Develop and maintain task management systems to support organizational growth
- Provide strategic input on improving organizational efficiency and processes
- Support volunteer coordination and communication initiatives
Requirements:
- Highly organized with exceptional attention to detail and follow-through
- Excellent written and verbal communication skills with proactive communication style
- Demonstrated accountability and reliability in previous administrative roles
- Ability to work independently while managing multiple priorities simultaneously
- Experience with calendar management, email coordination, and task tracking
- Strong problem-solving skills and ability to suggest process improvements
- Bonus if you have experience in nonprofit or faith-based organizations
