Role Overview
We are seeking a highly organized and detail-oriented Admin Assistant to support a growing travel agency. This role combines administrative coordination, client communication, itinerary management, and light marketing responsibilities. The ideal candidate is proactive, tech-savvy, and comfortable managing multiple moving parts while delivering an exceptional client experience.
Schedule: Part-time (20 hours a week), Monday to Friday 12pm to 4pm EST
Key Responsibilities
- Manage the full CRM lifecycle, including invoice creation, final payment processing, client reminders, and travel confirmations
- Coordinate with hotels, tour operators, transportation providers, and other suppliers to confirm reservations and resolve booking-related details
- Handle flight seat assignments and ensure frequent flyer information and client preferences are accurately reflected in reservations
- Build, update, and maintain client itineraries using Access, independently managing the database on a daily basis
- Create and distribute a weekly email newsletter featuring travel promotions, special offers, and destination highlights
- Maintain the company’s social media presence by creating and scheduling 1–2 weekly posts across Facebook and Instagram
- Manage and organize the social media content calendar to ensure consistent brand visibility
Requirements
- Previous experience working with CRM systems in a travel agency or similar customer-focused environment
- Experience with Microsoft Access or comparable database management tools
- Exceptional attention to detail, especially when handling multiple client bookings and travel arrangements
- Strong written communication skills for client correspondence, supplier communication, and marketing content
- Ability to work independently and take ownership of tasks with minimal supervision
- Excellent organizational and time-management skills with the ability to prioritize competing responsibilities
- Proactive mindset and strong problem-solving abilities
Position Details
