Schedule: 9AM to 1PM Sydney 4hrs per day (20hrs per week)
Key Responsibilities
1. DATA PROCESSING
• Enter, update, and maintain product, supplier, and pricing data in the ERP system accurately and on time
• Process data received from suppliers — price lists, product updates, new lines — into the correct system fields
• Perform routine data audits and report discrepancies to the GM Commercial
• Maintain clean, consistent records using agreed naming conventions and data standards
• Use AI tools to assist with bulk data processing, formatting, and quality checking
2. PRICING UPDATES
• Apply supplier price changes to the system promptly and accurately when instructed
• Cross-check updated prices against purchase orders and flag variances for review
• Maintain pricing records with version control — old prices archived, current prices active
• Use AI tools to assist with bulk pricing updates and to check for errors before submission
3. IMPORTING SUPPORT
• Track all open purchase orders from placement through to receipt — deposit, balance payment, shipping, customs, delivery
• Maintain up-to-date records of shipment ETAs, freight forwarder communications, and container bookings
• Follow up with suppliers and freight forwarders on schedule using agreed communication protocols
• Flag delays, cost variances, or documentation gaps to the GM Commercial promptly
• Reconcile received stock against purchase orders and update the system accordingly
• Maintain organized records of all import documentation — invoices, packing lists, bills of lading, customs entries
4. AI TOOLS
• Use AI tools (e.g. Claude, ChatGPT, or equivalent) daily to complete data, pricing, and import tasks more accurately and efficiently
• Follow AI-assisted workflows and checklists; flag any unclear process steps before proceeding
• Suggest process improvements when identified and implement once approved
Skills and Experience
ESSENTIAL
• 5+ years in a purchasing administration, procurement support, or supply chain coordination
role
• High data entry accuracy — the single most important technical requirement for this role
• Experience maintaining records in an ERP or inventory management system
• Proficient in Excel or Google Sheets — formulas, lookups, data formatting
• Demonstrated, practical use of AI tools in day-to-day work — must be able to describe
specific tasks completed using AI
• Reliable communicator — responds promptly and flags issues early
• Comfortable working remotely and independently within defined processes
DESIRABLE
• Experience with international purchasing, import documentation, or freight coordination
• Familiarity with Odoo, MYOB, NetSuite, or similar ERP
• Prior offshore or cross-timezone remote work experience
