We are seeking a proactive and highly organized Healthcare Operations Team Coordinator / Team Lead to oversee a remote team of Healthcare Operations Support Specialists while helping drive operational quality, workflow efficiency, and hiring coordination.
This role combines people leadership, workflow management, quality control, and operational support within a HIPAA-conscious healthcare environment. The ideal candidate is experienced in healthcare administrative operations, thrives in structured process-driven environments, and can lead offshore teams while maintaining strong operational accuracy and accountability.
You will play a critical role in scaling operational processes, onboarding new team members, supporting hiring efforts, and ensuring smooth day-to-day coordination of medical-legal case workflows.
Schedule: Full-Time (40 hours/week) | Aligned with EST business hours
Responsibilities
- Team Leadership & Operations Coordination: Supervise a remote team, monitor productivity, track KPIs, and ensure SLA compliance. Coordinate daily activities, manage case assignments, audit workflows for quality control, and proactively escalate bottlenecks while continuously improving SOPs.
- Hiring, Training & Onboarding: Assist with recruitment coordination, candidate screening, and interviewing. Manage the onboarding and training of new hires, maintain training guides, and coach team members to close performance gaps.
- Healthcare Operations Support: Oversee healthcare and medical-legal case intake, ensuring accurate info extraction from medical/legal records. Monitor eligibility screening, review documentation completeness, utilize Excel/SharePoint/Teams for tracking, and maintain strict HIPAA compliance.
Requirements

- Previous experience leading or coordinating administrative, healthcare operations, or back-office support teams.
- Experience in healthcare claims, insurance operations, revenue cycle management, or medical-legal workflows.
- Strong English communication skills (internal coordination and documentation review) alongside strong organizational and leadership abilities.
- High attention to detail, process accuracy, and experience managing remote team accountability and deadlines.
- Proficiency with Microsoft Excel, SharePoint, Microsoft Teams, and operational tracking systems.
- Solid understanding of HIPAA regulations, healthcare data confidentiality practices, and an analytical mindset.
Highly Regarded Skills & Experience
- Experience in legal process outsourcing (LPO) or medical-legal administrative operations.
- Experience supervising offshore operations teams and building SOPs or QA systems.
- Familiarity with arbitration workflows, claims review, or healthcare compliance processes.
- Previous involvement in recruitment, onboarding, employee training, and KPI tracking.
- Experience in startup or rapidly scaling operational environments.
