Short-Term Rental Property Assistant

Job Overview

Our client is seeking a highly proactive and self-directed Short-Term Rental Property Assistant to manage the day-to-day operations of an expanding property portfolio. This role is a hybrid of hospitality customer service, logistics coordination, and financial administration. The ideal candidate will act as the operational anchor for the business, handling everything from guest relations and vendor coordination to dynamic pricing strategies and financial transaction tracking, allowing the owner to focus entirely on scaling the business.

Schedule

  • 9:00 AM – 6:00 PM AEST [Queensland / Brisbane Time] (40 hours per week)

Responsibilities

Guest Relations & Property Logistics

  • Guest Communications: Manage end-to-end guest communications across all major booking platforms, ensuring rapid, professional responses, including managing urgent after-hours inquiries.
  • Vendor Coordination: Independently schedule, dispatch, and coordinate with cleaners, handymen, and utility service providers to resolve maintenance issues without requiring owner intervention.
  • Property Logs: Maintain and update live cleaning tracker logs, property maintenance records, and guest review dashboards.
  • Onboarding Support: Assist with onboarding new properties to the portfolio, including setting up digital platform listings and creating localized welcome guest books.

Revenue Optimization & Marketing

  • Yield Strategy: Execute gap-night booking strategies and apply dynamic pricing rules to maximize occupancy and revenue across all properties.
  • Market Intelligence: Conduct competitive analysis and market benchmarking on a fortnightly and monthly basis to keep listings ahead of local trends.
  • B2B Outreach: Support business development by initiating outreach to local tourism companies to establish commission-based partnerships.
  • Content Creation: Research local events and create social media content to drive direct bookings and organic brand awareness.

Financial Administration & Reporting

  • Transaction Ledgering: Collect, track, and reconcile guest payments, utility bills, and maintenance expenses, classifying transactions accurately within the accounting platform.
  • Performance Reporting: Prepare monthly and quarterly financial summaries for the owner, detailing income vs. expenses, market positioning, and property KPIs.

Requirements

  • Industry Experience: Proven background in short-term rental management (Airbnb/Booking.com), real estate property management, or hospitality administration.
  • Learning Agility: Exceptional attention to detail with the ability to follow documented operational processes and fully retain technical instructions after a single training session.
  • Communication Skills: Polished written and verbal English communication skills suitable for high-touch guest service and local vendor management.
  • Proactivity & Initiative: A high level of personal drive and problem-solving capability, with a proven knack for managing situations independently.
  • Workflow Management: Strong organizational habits with the ability to fluidly manage recurring daily, weekly, and monthly operational checklists.
