Merchant Bookkeeper - Administrative Coordinator

Job Overview

Our client is seeking a sharp, multi-talented Merchant Bookkeeper - Administrative Coordinator to support their expanding merchant financing operations. This full-time remote role combines proactive sales administration, customer communication, and daily financial record-keeping. You will act as a key operational anchor, utilizing industry-specific scripts to connect with business owners while maintaining meticulous financial trackers in Excel and Google Sheets.

Schedule

  • Monday – Friday, 8:00 AM – 6:00 PM Eastern Time [EST] (40 work hours per week)

Key Responsibilities

  • Merchant Outreach: Contact business merchants via text message using strategic communication scripts to facilitate loans and capital advances.
  • Email Management: Manage the company inbox, responding to business inquiries promptly and maintaining professional correspondence.
  • Bookkeeping & Categorization: Categorize daily bank transactions and maintain clean, up-to-date bookkeeping records.
  • Loan Tracking: Maintain high-integrity records of active loans, payment schedules, and financial balances within Excel and Google Sheets.
  • Administrative Operations: Oversee standard administrative tasks, including processing bill payments and managing scheduling as required.
  • Workflow Optimization: Maintain a proactive, efficient daily workflow to directly support sales progression and operational velocity.

Requirements

  • Technical & Numerical Literacy: Strong experience with Microsoft Excel and Google Sheets, backed by basic bookkeeping experience and numerical precision.
  • Communication: High level of English proficiency, with the ability to write polished, professional emails and clear text outreach.
  • Adaptability: Exceptional learning agility and the ability to quickly adopt industry-specific communication frameworks and script guidelines.
  • Autonomy: A proven ability to work independently, multitask under structured timelines, and think critically without constant supervision.
  • Remote Workspace: A highly reliable home internet connection and a fully equipped computer system suitable for full-time remote support.
