Training Coordinator

Overview

Join a leading UK-based training and licensing organization specializing in vocational driver training and compliance programs. The company supports individuals throughout their professional qualification journey, helping them navigate complex licensing, testing, and certification processes while coordinating with training centers across the United Kingdom.

We are seeking a highly organized and customer-focused Training Coordinator to manage the learner journey from enrollment through successful completion of training programs. This role combines customer service, training administration, CRM management, scheduling coordination, and learner support. The ideal candidate enjoys working with people, thrives in a fast-paced environment, and is passionate about helping customers achieve their professional goals.

Schedule:

Full-Time (40 hours per week) | Monday to Friday, 8:30 AM – 5:30 PM or 9:00 AM – 6:00 PM (UK Time) | Client Timezone: GMT / BST (United Kingdom)

Responsibilities

Customer Onboarding & Learner Support

  • Welcome new customers via phone and guide them through the training process
  • Explain training requirements, timelines, and next steps clearly and professionally
  • Act as the primary point of contact throughout the learner's journey
  • Provide support, guidance, and reassurance when customers encounter challenges or setbacks
  • Respond promptly to customer questions, concerns, and requests for assistance

Training Coordination & Scheduling

  • Book required training courses and examinations with partner training centers
  • Coordinate schedules efficiently to ensure a smooth learner experience
  • Monitor learner progress and ensure all required training milestones are completed
  • Liaise with training providers and internal teams regarding scheduling and availability

CRM & Administrative Management

  • Maintain accurate customer records within Salesforce CRM
  • Update learner information, status changes, and training progress records
  • Prepare and send welcome packs, application forms, and onboarding materials
  • Ensure all documentation is completed accurately and processed efficiently
  • Maintain organized digital records and administrative systems

Operational Support

  • Stay informed on industry regulations, training requirements, and company products
  • Support operational workflows and internal coordination activities
  • Assist with process improvements to enhance customer experience and operational efficiency
  • Collaborate with the operations team to ensure service excellence

Requirements

  • Previous experience in customer service, training coordination, administration, or client support roles
  • Excellent verbal and written English communication skills
  • Strong organizational and multitasking abilities
  • Experience using Salesforce CRM or similar CRM platforms
  • Proficiency with Microsoft Word, Excel, and Office applications
  • Fast and accurate typing skills
  • Ability to work effectively under pressure and manage multiple priorities
  • Strong attention to detail and administrative accuracy
  • Excellent problem-solving and customer relationship management skills

Highly Regarded Skills & Experience

  • Experience working within training, education, licensing, or vocational development sectors
  • Knowledge of the transport, logistics, or HGV industry
  • Experience coordinating appointments, schedules, or training programs
  • Strong negotiation and stakeholder management skills
  • Experience supporting customers through long-term service journeys
  • Familiarity with UK-based training and compliance environments

Scope

  • Manage customer onboarding and training coordination activities
  • Support learners throughout programs lasting several months to one year
  • Coordinate with training centers across the United Kingdom
  • Maintain accurate CRM records and training documentation
  • Provide exceptional customer service during both successful and challenging stages of the learner journey
