Job Overview:
We are seeking a Client Operations & Admin Coordinator to streamline client communications, manage task logging, and ensure deliverables are tracked effectively. The role is designed to remove the bottleneck from day-to-day client operations, ensuring smooth communication and project flow across the business.
Schedule:
- Monday - Friday, 9:00 AM - 5:00 PM GMT/BST (40 hours a week)
Responsibilities:
Client Communications & Inbox Management
- Active Monitoring: Proactively monitor dedicated client inboxes during UK business hours (9 AM – 5 PM GMT/BST).
- Strategic Email Triaging: Efficiently process incoming client emails based on urgency and actionability:
- If Actionable: Create a structured ClickUp task utilizing the agreed-upon template.
- If Acknowledgment is Needed: Promptly draft and send professional holding replies.
- Workflow Optimization: Maintain a seamless, highly structured Client Inbox $\rightarrow$ ClickUp Intake workflow to ensure 100% of client requests are captured and logged.
- Success Metric (KPI): 100% of actionable client emails must be logged into ClickUp on the same business day, maintaining consistent positive feedback from clients on responsiveness and communication.
Project Coordination & Deliverable Tracking
- ClickUp Oversight: Review ClickUp daily to track upcoming deliverables and project timelines.
- Freelancer Accountability: Proactively follow up with freelancers regarding any overdue tasks to ensure deadlines are met.
- Daily Reporting: Prepare and distribute a concise Morning Report detailing:
- New client emails received
- Newly logged ClickUp tasks
- Deliverables due today and tomorrow
- Success Metric (KPI): The Daily Morning Report must be sent before 10:00 AM UK time, and 100% of overdue tasks must be flagged and followed up on within 24 hours.
Operational & Marketing Support
- Administrative Assistance: Support the team with light administrative duties, including managing contracts, organizing receipts, and compiling basic reporting tasks.
- Marketing Admin Support: Assist with light marketing execution, such as uploading blog posts, formatting newsletters, and scheduling social media content.
- Success Metric (KPI): Administrative and marketing tasks are completed accurately, on schedule, and aligned with internal quality standards.
Requirements:
- Proven experience in operations, client services, or admin coordination.
- Experience with ClickUp or similar project/task management tools.
- Strong written communication skills with a professional, friendly tone.
- Highly organized, detail-oriented, and proactive.
- Ability to work independently and manage priorities in a fast-moving environment.
- Familiarity with light marketing admin (blogs, newsletters, social scheduling) is a plus.
