Job Overview:
Responsible for accurate bank reconciliations, payroll processing, and financial reporting using Xero, Shopify, and Deputy. This part-time role (20 hours/week, Melbourne AEST) focuses on maintaining financial compliance with Australian regulations, preparing cash flow summaries and management reports, and proactively identifying system improvements through new apps or integrations to support operational efficiency.
Schedule:
- Mondays to Fridays, 9:00 am to 1:00 pm (Australian Eastern Time, 20 hours per week)
Scope:
- Ensure all Shopify line items balance with Xero records on a weekly and fortnightly basis
- Support operational efficiency by identifying gaps in current systems and recommending scalable solutions
- Maintain compliance with evolving Australian tax and employment legislation
- Deliver weekly management reports and cash flow summaries to support business decision-making
Responsibilities:
- Perform accurate bank reconciliations in Xero by cross-referencing all sales transactions processed through Shopify and Tyro
- Raise invoices and bills on behalf of consigners based on verified Shopify order data
- Manage payroll processing via Deputy, including updates to employee records and compliance with Australian regulations
- Prepare weekly and fortnightly cash reconciliations, cash forecasting, and management reports
- Research and evaluate new apps, integrations, or operational solutions to improve business processes and present recommendations
- Provide general administrative support, including updating consigner app records and maintaining accurate financial documentation
Requirements:
- Demonstrated experience with Xero, Shopify, and Deputy in a bookkeeping or financial administration capacity
- Familiarity with Australian payroll obligations including BAS, superannuation, and GST
- Strong problem-solving ability with a proactive, self-starter mindset
- High level of attention to detail and accuracy in financial data management
- Ability to work independently with minimal supervision and take initiative on process improvements
- Tech-savvy with a willingness to explore tools such as Zapier and AI-driven solutions
