Role Overview

The Admin Assistant plays a key role in ensuring the smooth day-to-day operation of a performing arts production company and its managed client activities. This position requires exceptional organizational skills, attention to detail, and the ability to support both creative and operational processes. The successful candidate will handle a wide range of administrative, logistical, and coordination tasks — from managing correspondence and records to assisting with event and touring logistics. Schedule

  • Monday to Friday 10:00 AM to 2:00 PM Queensland Time (4 hours per day / 20 hours per week)​

Responsibilities

  • Handle day-to-day administrative and operational duties to ensure smooth business operations
  • Manage correspondence, emails, and internal communications across the company and client accounts
  • Maintain organized digital and physical filing systems, company records, and documentation
  • Assist with event management and touring company coordination
  • Prepare and format reports, presentations, meeting notes, and production materials
  • Update and manage databases, contact lists, and project management tools
  • Provide ad-hoc administrative and operational support as required by management
  • Uphold confidentiality and professionalism when handling company and client information

Requirements

  • Minimum of 3 years’ experience as an Administrative Assistant or in a similar role
  • Strong administrative, organizational, and multitasking abilities
  • Proficiency in Microsoft Office Suite and/or Google Workspace
  • Excellent written and verbal communication skills
  • Experience in the creative, events, or entertainment industry preferred
  • Ability to work independently, take initiative, and manage multiple priorities in a fast-paced setting
  • Strong attention to detail and proactive problem-solving skills
  • Familiarity with bookkeeping, CRM systems, or basic project management tools is a plus
  • Flexible and adaptable, with a positive and professional attitude toward collaboration and change
