We are seeking a highly organized and proactive Property Coordinator to support the aggressive growth of our platform. Responsibilities
- FINANCIAL REPORTING AND ADMINISTRATION: Responsible for follow up on delinquencies and processing late fees when necessary. Assists with the coordination of vendor payments by ensuring vendor invoices are provided to accounting team in timely manner. Prepares tenant move out including security deposit refund/reconciliations. Reviews monthly rent charges for compliance with lease schedules and submits changes to Property Manager for approval. Oversees the calculation of all tenant one-time expenses and special billings.
- ADMINISTRATIVE SUPPORT: Maintains organization of files in shared drive. Creates service contracts, tenant adjustment forms, and other fillable documents for Property Managers. Reviews and manages Certificates of Insurance (COIs) for tenants and vendors, including COIs for HOAs across the portfolio.
- RECURRING SERVICES MANAGEMENT: Reviews and manages recurring services at properties, including ensuring scheduled maintenance (e.g., quarterly services) is performed on time and that vendor reports are received and filed in the shared drive. Reviews security reports for on-site issues and coordinates with dedicated vendors for repairs such as graffiti removal, illegal dumping, and miscellaneous building or parking lot repairs.
- DATA MANAGEMENT AND REPORTING: Collects and inputs sales data into Yardi. Assists with data collection, downloading invoices, and auditing accounts as applicable; demand increases significantly during CAM reconciliation and budget season. Drafts tenant notices, welcome letters, and similar correspondence for Property Manager review and submittal. Manages initial AR notices as directed.
- INTERPERSONAL AND COMMUNICATION SKILLS: Articulates ideas; both verbal and written, in a clear and understandable manner. Has good listening skills and facilitates communication. Shares information with others, seeks out feedback and constructive criticism. Uses diplomacy, tact and negotiates effectively.
- DECISION MAKING: Makes thoughtful, prompt and systematic decisions under time constraints. Presents alternative solutions to problems and considers the impact of decisions.
Requirements
- 2+ years prior work experience in Property Management
- Office and Retail Property Management experience preferred
- Strong written and verbal communication skills with the ability to convey information concisely
- Highly organized with a demonstrated ability to priories and multi task
- Strong work ethic and ability to work in dynamic, entrepreneurial team environment
- Proficiency in Microsoft Office, Experience with Yardi preferred
