Multi-Entity Bookkeeper | Xero | AU & US Compliance

Job Overview

Our client is looking for a highly detail-oriented and experienced Multi-Entity Bookkeeper to support the financial operations of a growing international business with multiple entities across Australia and the United States. This role is ideal for a finance professional with strong expertise in Xero, multi-entity bookkeeping, payroll processing, and investment-related recordkeeping, including shares and cryptocurrency holdings.

The successful candidate will play a critical role in maintaining accurate financial records, reconciling historical transactions, supporting compliance requirements, and assisting leadership with financial administration across global operations. This is a fast-paced remote position requiring excellent organizational skills, independence, and the ability to manage confidential financial information with precision.

Schedule

  • Monday - Friday, flexible during client business hours, Australian Eastern (20 work hours per week)

Responsibilities

Bookkeeping & Financial Management

  • Process daily financial transactions and maintain accurate bookkeeping records in Xero.
  • Perform bank reconciliations across multiple business entities and accounts.
  • Manage accounts payable and accounts receivable functions, including invoice processing, payment tracking, and collections.
  • Maintain clean and accurate general ledgers for all entities.
  • Support month-end and quarter-end closing processes.

Multi-Entity Accounting & Reporting

  • Manage bookkeeping operations across Australian and US legal structures.
  • Assist with financial consolidation for multiple entities and investment vehicles.
  • Maintain detailed financial documentation and supporting schedules for external accountants and tax advisors.
  • Prepare records and reports required for tax compliance and financial audits.

Investment & Asset Recordkeeping

  • Maintain accurate records of share trading activities and cryptocurrency holdings.
  • Track investment-related transactions, balances, and supporting documentation.
  • Coordinate with leadership and external stakeholders regarding investment reporting requirements.

Payroll & Compliance

  • Process payroll for international staff across multiple jurisdictions.
  • Ensure compliance with Australian GST and Superannuation requirements.
  • Support payroll administration aligned with US payroll standards and reporting obligations.

Administrative & Operational Support

  • Perform CRM updates and financial data entry tasks.
  • Provide ad-hoc administrative support to leadership and finance stakeholders.
  • Assist with improving financial processes and operational workflows.
  • Collaborate with US-based investors and global offices on financial reporting requirements.

Scope of Work

  • Immediate reconciliation and cleanup of backlogged financial quarters.
  • Ongoing bookkeeping and financial management across multiple entities.
  • Support for Australian and US financial reporting requirements.
  • Administrative and operational support for leadership initiatives.
  • Coordination with global stakeholders, investors, and external accounting teams.

Requirements

  • Proven experience as a Bookkeeper or Accounting Specialist in a multi-entity environment.
  • Advanced proficiency in Xero accounting software.
  • Strong understanding of Australian GST, BAS, and Superannuation processes.
  • Experience supporting or processing US payroll standards and compliance requirements.
  • Demonstrated experience with bank reconciliations, AP/AR management, and financial reporting.
  • Familiarity with investment accounting, including shares and cryptocurrency holdings.
  • Experience preparing financial documentation for external accountants and tax filing purposes.
  • High level of accuracy, attention to detail, and organizational skills.
  • Ability to work independently and manage competing priorities in a fast-paced environment.
  • Professional written and verbal English communication skills.

  • Experience working with international or cross-border business structures.

  • Exposure to cryptocurrency accounting and digital asset tracking tools.
