Bilingual Real Estate Executive Assistant (Mandarin)

Job Overview

Our client is looking for a highly organized and proactive Bilingual Real Estate Coordinator to support day-to-day operations across residential and commercial real estate activities. This role involves calendar management, client coordination, CRM management, transaction follow-ups, and administrative support for a fast-paced real estate environment. The ideal candidate is detail-oriented, client-focused, and fluent in both English and Mandarin. Cantonese proficiency is a strong advantage.

Schedule

  • Monday - Friday, 9:00 AM - 6:00 PM Pacific Time, with 1 hour unpaid break (40 work hours per week)

Responsibilities

  • Manage and coordinate overlapping personal and professional calendars for multiple stakeholders
  • Schedule appointments, meetings, inspections, lender calls, and client follow-ups
  • Maintain and update CRM records to ensure accurate client and transaction data
  • Manage inboxes, draft emails, and organize communications efficiently
  • Follow up with clients regarding transaction milestones, required documents, and deadlines
  • Assist with onboarding new clients and ensuring a smooth client experience
  • Support outreach and re-engagement efforts with past clients and contacts
  • Serve as a liaison between agents, clients, vendors, and external partners
  • Track transaction progress and ensure timely communication throughout the process
  • Assist with additional administrative and operational tasks as needed

Requirements

  • Fluent in English and Mandarin (spoken and written); Cantonese proficiency is a plus
  • Previous experience in real estate administration, executive support, client coordination, or similar support roles
  • Strong organizational, multitasking, and time management skills with close attention to detail and follow-through
  • Excellent written and verbal communication skills with the ability to work professionally with multicultural clients and stakeholders
  • Comfortable using CRM systems, Google Workspace, digital collaboration tools, and AI or automation platforms
  • Proactive, reliable, and adaptable, with the ability to work independently, manage shifting priorities, and identify issues before they escalate
  • Professional, client-oriented, and accountable, with a strong sense of ownership in a fast-paced environment
  • Interested in long-term growth within real estate operations and support
