Job Overview
Our client, a New Jersey-based real estate development business focused on multi-family and ground-up construction projects, is seeking a highly organized and proactive Real Estate Bookkeeping Coordinator. This role serves as a vital operational anchor for a small, fast-moving team. You will handle a dynamic mix of executive administration, municipal permit tracking, vendor coordination, and QuickBooks bookkeeping. This is a stable, long-term position designed for someone who wants to take true ownership of operational processes and grow alongside the company.

Monday – Friday, 9:00 AM – 6:00 PM EST, with a 1-hour unpaid break (40 hours per week)
Key Responsibilities
Executive Administration & Inbox Management
- Inbox Oversight: Manage and organize the executive’s inbox daily, drafting replies to routine emails and flagging priority communications.
- Calendar Coordination: Schedule and coordinate meetings, inspections, calls, and site visits; prepare meeting notes and timely reminders.
- Process Documentation: Create and document internal processes and operational workflows to streamline scaling.
Project & Municipal Coordination
- Stakeholder Follow-up: Coordinate directly with contractors, lenders, attorneys, architects, inspectors, and vendors to ensure project milestones are met.
- Permit Tracking: Connect with New Jersey city offices and local municipalities regarding permits, paperwork, and inspections; proactively follow up on pending items.
Bookkeeping & Digital Records
- Financial Support: Assist with essential bookkeeping tasks in QuickBooks, including precise transaction categorization and receipt organization.
- Data Organization: Maintain pristine, highly organized digital records and cloud documentation across all ongoing projects.
Requirements
- Communication: Excellent written and spoken English communication skills, with the confidence to interact with U.S.-based vendors, professionals, and government offices.
- Mindset: Highly proactive, tech-savvy, and detail-oriented with the ability to manage multiple moving parts simultaneously.
- Software Proficiency: Experience using modern workspace tools such as Gmail, Google Calendar, Google Drive, QuickBooks, CRM systems, Dropbox, Slack, or WhatsApp.
- Remote Workspace: A reliable home internet connection and a professional, quiet remote work setup.
- Autonomy: Proven ability to work independently with minimal supervision in a fast-paced environment.
Preferred Qualifications (Nice to Have)
- Professional experience in U.S. real estate, multi-family construction, or property management.
- Direct experience handling construction permits and coordinating with local municipalities.
- Practical knowledge of QuickBooks or foundational accounting/bookkeeping principles.
- Conversational or fluent Spanish communication skills.
