Executive Assistant

We are seeking a highly organized, proactive, and detail-oriented Executive Assistant to provide critical administrative and operational support to three C-level executives. In this role, you will act as a strategic gatekeeper by managing complex calendars, overseeing multiple email inboxes, and coordinating cross-departmental communications across Microsoft 365 platforms. This role is a great fit for an autonomous professional who can handle competing priorities with discretion, and it offers strong potential for a full-time opportunity.

Schedule:

  • Monday, Wednesday, and Friday from 8:00 AM to 5:00 PM MDT, with a one-hour unpaid break. 24 hours per week (8 hours per day, 3 days per week).

Responsibilities:

  • Manage, coordinate, and organize multiple calendars for three C-level executives, balancing shifting priorities, scheduling conflicts, and time-sensitive requests.

  • Monitor and organize multiple executive email inboxes and Microsoft Teams chats, flagging urgent matters and drafting professional responses.

  • Coordinate all meeting logistics, including reminders, reschedules, and cross-departmental follow-ups to ensure executives stay informed.

  • Handle highly sensitive and confidential information with the utmost professionalism and discretion.

  • Track critical priorities, deadlines, and action items across all three executives to maximize their daily productivity and workflow efficiency.

  • Maintain clear, professional, and seamless communication with clients, vendors, and internal teams.

  • Proactively identify and efficiently resolve scheduling, administrative, or communication gaps before they disrupt operations.

  • Provide comprehensive administrative and operational support to facilitate smooth coordination between key stakeholders and departments.

Requirements:

  • Previous experience in an Executive Assistant, Administrative Assistant, or similar executive support role

  • Strong organizational, communication, and time-management skills

  • Ability to multitask effectively in a fast-paced environment

  • Close attention to detail and strong professionalism

  • Ability to work independently with minimal supervision

  • Strong problem-solving and prioritization skills

  • Proficiency with Microsoft Outlook, Microsoft Teams, and Microsoft 365 / Office Suite

  • Comfortable handling confidential and sensitive information
