Job Overview:

 As a Reservation and Dispatch Coordinator, you will serve as a key link between customers and drivers by converting CRM-generated leads into confirmed reservations via phone and email. Responsibilities include providing tailored quotes based on event type and budget, scheduling reservations and assigning drivers, optimizing multi-stop routes, handling inbound calls for real-time ride updates, and coordinating weekend dispatch operations to manage last-minute booking requests.

Schedule:

• Mondays and Tuesdays, 12:00 pm to 4:00 pm
• Thursdays and Fridays, 10:00 am to 4:00 pm
• US Eastern Time, 20 hours per week

Scope:

• Weekend availability may be required from time to time.
• Working days focused on the beginning of the week (Monday–Wednesday) and the end of the week/weekends (Friday–Sunday) with mid-week flexibility
• Serving as the primary point of contact for customer inquiries and driver coordination
• Supporting the business owner in transitioning day-to-day operations to enable focus on business development and expansion

Responsibilities:

• Follow up on CRM-generated leads via phone and email to convert inquiries into confirmed reservations
• Provide tailored quotes to customers based on event type, budget preferences, and service tier (economy vs. premium)
• Manage reservation scheduling and assign drivers to upcoming trips, ensuring no bookings are missed
• Optimize driver routes by nesting multiple reservations into efficient multi-stop itineraries
• Handle inbound customer calls for real-time logistical updates, including ride status and ETAs on event days
• Coordinate weekend dispatch operations, confirming driver availability and managing last-minute booking requests

Requirements:

• Experience in scheduling, dispatching, or logistics coordination within a service-based environment
• High proficiency and fluency in spoken and written English, with a professional phone manner
• Strong organizational skills with the ability to manage multiple bookings and shifting priorities simultaneously
• Excellent attention to detail to prevent scheduling conflicts and missed driver assignments
• Ability to work independently with minimal supervision across a split-shift schedule
• Comfortable following conditional pricing frameworks and adapting communication style to different customer needs
