The client is a travel experience company based in Cape Town, South Africa, offering diverse travel experiences and services. The company operates with a team of approximately 20 office staff and 30 guides, creating a dynamic environment with significant communication and coordination needs.
Schedule:
- Monday - Friday 9:00 AM - 1:00 PM, South Africa Standard Time (SAST)
Responsibilities:
- Manage and organize inbox and email communications, prioritizing urgent matters and reducing clutter.
- Coordinate WhatsApp communication and ensure timely responses to key contacts.
- Manage calendar, schedule meetings, and organize appointments efficiently.
- Track follow-ups and ensure response tracking across all communication channels.
- Draft and prepare responses to routine communications on behalf of the founder.
- Organize tasks and reminders to support daily workflow and priorities.
- Protect focus time by filtering non-urgent communications and managing interruptions.
Requirements:
- Proven experience as a Virtual Assistant or Executive Assistant with strong communication management skills.
- Excellent written and verbal communication skills with attention to detail.
- Proficiency in email management platforms, calendar tools, WhatsApp, and common productivity software.
- Strong organizational skills with the ability to prioritize tasks and manage multiple communication channels simultaneously.
- Self-motivated and able to work independently with minimal supervision.
