Job Overview
Our client is looking for a detail-oriented and highly organized Sales Operations Coordinator to support a fast-growing communications and media firm. This company specializes in securing guaranteed editorial coverage and news story placement across internationally recognized news brands, operating on a subscription-based model for clients across various industries.
In this role, you will be the operational backbone of the sales team. You will manage reporting, lead databases, commission reconciliation, quality assurance, and onboarding. Your work will ensure that sales representatives can focus on closing deals while you maintain accuracy, accountability, and efficiency behind the scenes. This is a remote, full-time position.
Schedule

Monday - Friday, flexible work hours following South America/USA time zones, with occassional alignment meetings with Philippine team (40 work hours per week)
ResponsibilitiesReporting & Analytics
- Generate and analyze weekly sales performance reports.
- Prepare comprehensive monthly sales reports for leadership.
- Monitor and maintain accurate coverage in the Chili schedule system.
- Conduct monthly commission calculations, including:
- Verification of received payments against deal amounts.
- Reconciliation of refunds and chargebacks.
- Formula accuracy validation.
Lead & Deal Management
- Oversee end-to-end lead management processes, with special focus on priority deals.
- Monitor and manage task allocation across the sales team.
- Regularly review and clean up the lead database to maintain data quality.
- Track and analyze key metrics including:
- Quote generation and status.
- Parking lot management (deferred or pending opportunities).
- Call volume and effectiveness.
- Weekly and monthly quote performance.
- High-value opportunity pipeline.
Quality Assurance & Training
- Conduct comprehensive quality assurance on sales calls and maintain scheduling oversight for the sales team.
- Lead new sales representative onboarding programs and coordinate product training initiatives in collaboration with the Publications team.
- Review and edit sales materials (e.g., scripts, templates) to ensure accuracy and alignment with current sales processes.
- Provide ongoing support and monitoring of sales representative performance.
Financial Operations
- Manage failed payment resolution processes.
- Collaborate with team members on chargeback management.
- Ensure accurate tracking and documentation of all financial transactions related to sales and subscriptions.
Requirements
- 2+ years of experience in sales administration, sales support, or similar coordination roles.
- Strong proficiency with CRM systems, scheduling tools, and spreadsheets (Excel or Google Sheets).
- High attention to detail, especially when working with numbers, commissions, and reconciliations.
- Excellent organizational and communication skills.
- Ability to work independently in a remote environment.
- Experience in a subscription-based or media/PR agency is a plus but not required.
