Job Overview:
As a Medical Scheduler, you will serve as the first point of contact for incoming patient calls, providing empathetic and professional support. Responsibilities include scheduling and managing appointments around the physician’s alternating weekly availability, conducting patient follow-ups to support continuity of care, addressing basic inquiries when the physician is unavailable, maintaining accurate patient records, and ensuring a seamless intake experience to support practice growth.
Schedule:
- Mondays to Fridays, 9:00 am to 5:00 pm (US Mountain Time, 40 hours per week)
Scope:
- Full-time position (40+ hours per week) aligned with the client's U.S. time zone
- Serve as the primary patient-facing representative for a new telemedicine weight loss clinic
- Manage all inbound communications and appointment coordination during the physician's on and off weeks
- Contribute to building a reliable operational foundation as the clinic scales toward direct patient care
- Adapt to new medical software and systems as they are implemented during the clinic's launch phase
Responsibilities:
- Answer incoming patient phone calls and provide a professional, empathetic first point of contact
- Schedule and manage patient appointments around the physician's alternating weekly availability
- Conduct patient follow-ups to ensure continuity of care and reduce missed appointments
- Address basic patient inquiries regarding services, availability, and appointment logistics when the physician is unavailable
- Maintain accurate and up-to-date patient records and scheduling logs
- Support the growth of the practice by ensuring a seamless patient intake experience
Requirements:
- Minimum 2–3 years of experience in a medical receptionist or clinical front-desk role
- Strong understanding of medical terminology and patient communication protocols
- Excellent verbal communication skills with a professional and reassuring phone manner
- High level of attention to detail when managing schedules and patient information
- Ability to work independently and exercise sound judgment in the physician's absence
- Experience in a telemedicine or virtual clinic environment is a plus
