Job Overview
Our client is seeking a high-caliber, system-minded Construction Operations Coordinator to establish and manage the central hub of their administrative, financial, and project pipelines. This is a critical, foundational role designed for a proactive operator who can seamlessly integrate financial bookkeeping with on-site project scheduling. Monday-Friday 8am to 5pm CST, with a 1-hour unpaid break (40 hours per week)
Responsibilities
- Financial Operations: Manage all aspects of client and supplier invoicing; process payments, track bills, and resolve overdue accounts using QuickBooks and JobTread.
- Project Scheduling: Coordinate daily and weekly project schedules within JobTread, liaising closely with on-site trade teams, material suppliers, and subcontractors to ensure seamless execution.
- Pipeline Follow-Up: Serve as a key point of contact for client interactions, systematically following up on sent quotes and estimates to maximize sales closing rates.
- CRM Management: Handle intake administrative tasks, log customer interactions, schedule sales consultations, and maintain up-to-date client databases in GoHighLevel.
- Process Engineering: Architect and document comprehensive Standard Operating Procedures (SOPs) for all administrative and operational workflows to build a scalable corporate knowledge base.
- Project Administration: Track active job statuses, update construction milestones, and audit project data files to ensure absolute accuracy prior to final invoice releases.
Requirements
- Industry Experience: Proven background in an operations, administrative, or project coordination role, specifically within construction, trades, or similar service-based sectors.
- Software Mastery: High proficiency using QuickBooks paired with hands-on experience or a strong aptitude for construction project management platforms like JobTread.
- CRM Literacy: Practical familiarity operating sales CRMs and automation tools, with experience in GoHighLevel considered a strong asset.
- SOP Documentation: Demonstrated ability to independently analyze a workflow, identify bottlenecks, and write clear, structural standard operating procedures.
- Communication Power: Exceptional communication skills with absolute confidence managing client relationships via phone, email, and SMS.
