Responsibilities
- Verify patient insurance eligibility and ensure coverage is active prior to scheduled appointments across IPAs, HMOs, PPOs, and Medicare
- Submit and track prior authorization requests for IPA patients several days in advance of their visits
- Monitor the EMR inbox for no-show patients and appointment requests, and proactively call to reschedule
- Place outbound reminder calls to patients for upcoming appointments within the next two days to reduce no-show rates
- Review and respond to patient text messages and voicemails received through the phone system and AI receptionist portal
- Follow up on unresolved patient inquiries captured by the AI receptionist to ensure a positive patient experience
Requirements
- Prior experience working in a medical office or healthcare setting as a receptionist or administrative assistant
- Bilingual proficiency in English and Spanish with clear, professional communication skills
- Familiarity with insurance verification processes, particularly IPAs and HMOs in the Inland Empire, California area
- Experience with Athena Health or a similar EMR system
- High level of attention to detail and ability to manage multiple administrative tasks simultaneously
- Strong interpersonal skills with a friendly, patient-facing demeanor
Scope
- Full-time remote position, Monday to Friday, 8 hours per day
- Serve as the primary virtual front-desk support handling all inbound and outbound patient communications
- Collaborate with in-office staff via Athena Health chat, Google Workspace, and WhatsApp for real-time coordination
- Maintain accurate records of patient interactions, scheduling changes, and authorization statuses within the EMR
- Participate in daily check-ins with the physician to report on morning activity and flag any issues
- Support the practice's goal of reducing patient no-shows and improving overall administrative efficiency
