Our client is looking for a proactive and detail-oriented Legal Executive Assistant with strong administrative and marketing support experience to join their remote team. This role combines executive assistance, legal administration, client documentation management, and marketing coordination to support the continued growth of the firm.
Client Overview
The client is a growing legal services firm specializing in personal injury and immigration law. Their team is dedicated to providing professional, client-focused support while maintaining efficient operations and strong community engagement.
Schedule:

Monday to Friday, 9:00 AM – 6:00 PM West Palm Beach, FL time, with 1-hour unpaid lunch break (40 hours per week)
Responsibilities
- Input and manage immigration case data and client documents within the Clio case management system
- Manage executive calendars, appointments, and scheduling coordination
- Research networking opportunities, bar association events, and community engagement activities to support brand visibility
- Coordinate with external contacts including medical offices, professional associations, courthouses, and USCIS
- Conduct outreach calls and professional correspondence to support marketing and business development initiatives
- Assist with email management, follow-ups, and general executive administrative support
- Maintain accurate records and ensure legal documentation is organised and updated
- Support marketing coordination and brand-building activities within the legal community
- Handle confidential client and business information with professionalism and discretion
Requirements
- Proven experience as an Executive Assistant with marketing or brand coordination exposure
- Experience using CRM or case management software such as Clio or similar platforms
- Excellent written and verbal English communication skills
- Ability to manage calendars, communications, and multiple priorities independently
- Strong organisational and time management skills
- Strong administrative and data entry skills with excellent attention to detail
- High level of professionalism and discretion when handling confidential information
