NDIS Marketing & Admin Officer

Are you an experienced NDIS professional who thrives in a fast-paced, purpose-driven environment? We are looking for a proactive and highly organized NDIS Administration & Compliance Coordinator to help support and grow our operations while making a meaningful impact within the community.

In this role, you’ll play a key part in managing participant records, compliance documentation, invoicing, and administrative processes aligned with NDIS standards, while also helping maintain our online presence through engaging Facebook content and community updates. This is an exciting opportunity for someone who enjoys building systems from the ground up, contributing ideas independently, and being involved in both operational support and business growth initiatives.

Schedule:

  • 9am-3pm AEST - Flexible; 20 hours per week

Responsibilities:

  • Keep Facebook page and engagement going (posting relevant updates about the NDIS, posting about relevant programs and opportunities in the area, keeping up with engaging posts to keep us from going stale).
  • Develop and maintain participant intake forms, records, and compliance documentation in line with NDIS requirements
  • Organize and manage client-sensitive information using secure cloud-based storage systems
  • Assist with invoicing, case note management, and administrative record-keeping aligned to the NDIS Price Guide
  • Respond to participant and service provider enquiries via email and social media channels
  • Support business development efforts including networking outreach, policy creation, and operational structuring
  • Help establish and maintain compliance frameworks to meet NDIS audit and regulatory standards

Requirements:

  • Demonstrated experience working in an NDIS administrative or support coordination environment
  • Strong understanding of NDIS compliance requirements, pricing guides, and participant plan structures
  • Excellent organizational skills with the ability to build systems and processes from the ground up
  • High level of attention to detail and ability to handle sensitive, confidential information
  • Strong written communication skills with a professional and empathetic tone
  • Proactive and strategic mindset with the ability to contribute insights and recommendations independently

Scope:

  • Part-time engagement (20 hours per week) with potential to expand as the business grows
  • Cloud-based document management setup and ongoing maintenance for participant records
  • Confidentiality and data privacy compliance, including adherence to HIPAA-equivalent protocols
  • Shadowing the business owner to learn support coordination workflows and eventually assist with client-facing communications
  • Ongoing administrative support to free the business owner for revenue-generating fieldwork
