Executive Assistant

Overview

We are seeking a highly organized and proactive Executive Assistant to directly support our CEO across strategic, operational, and personal workflows. In this dynamic role, you will protect the CEO's time by seamlessly managing complex calendars, streamlining communications, and keeping day-to-day operations running smoothly. Schedule:

  • Part-time, 20+ hours / week | Mon-Fri, flexible within the client's business hours

Responsibilities

  • Manage the CEO’s calendar, scheduling, and daily priorities
  • Coordinate internal and external meetings across multiple time zones
  • Prepare agendas, meeting notes, and follow-up action items
  • Handle inbox management and draft professional communications
  • Organize travel arrangements, itineraries, and expense reporting
  • Help prioritize incoming requests and maintain operational workflows
  • Maintain internal documentation, files, and administrative systems
  • Support recruiting coordination and onboarding logistics as needed
  • Conduct online research and prepare summaries or briefing materials
  • Handle occasional personal assistant tasks for the CEO
  • Anticipate needs and proactively solve problems before they escalate

Requirements

  • 1–2 years of dedicated experience as an Executive Assistant, Personal Assistant, or Operations Coordinator directly supporting a CEO, business owner, or C-suite executive.
  • Experience working with international teams and managing schedules across multiple time zones (e.g., EST, GMT, PHST).
  • Comfortable wearing multiple hats and switching seamlessly between high-level business operations and personal assistant tasks.
  • Expert proficiency in Google Workspace (Gmail, Google Calendar) or Microsoft 365 for complex scheduling and executive communication.
  • Strong digital literacy with tools like Notion, Slack, Asana, or ClickUp to maintain internal documentation and operational workflows.
  • Experience booking complex travel itineraries, managing logistics, and handling expense reporting accurately.
  • A natural ability to anticipate the CEO's needs, clear roadblocks, and solve problems before they escalate.
  • Strong analytical skills to distinguish between urgent and low-priority tasks, effectively protecting the CEO’s time.
  • Proven track record of handling highly sensitive corporate, financial, and personal information with the utmost confidentiality.
  • An exceptional eye for detail, ensuring meeting agendas, action items, and company files are perfectly tracked and sorted.
  • Exceptional written and verbal English grammar. Ability to ghostwrite emails and draft professional correspondence on behalf of the CEO.
  • Calm under pressure, adaptable to changing priorities, and able to interface professionally with external stakeholders, clients, and internal teams.
  • High level of accountability and responsiveness during agreed-upon business hours.
