Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to support daily business operations through contract management, inbox monitoring, CRM updates, and client communication. This role is ideal for someone tech-savvy, highly organized, and comfortable working independently in a client-facing environment. Initial hours are part-time with strong potential for growth as the business expands.
Schedule: Part-time role starting at approximately 5 hours per week with flexible growth potential, requiring availability aligned with the client’s time zone and an initial budget of AUD $450–$500 per month.
Key Responsibilities:
- Contract Management: Prepare and send out client contracts, including filling in client details (which are publicly available online) and managing the DocuSign process.
- Inquiry Handling: Deal with inbound inquiries, ensuring timely and professional responses.
- Email Management: Monitor and manage the company email inbox (Outlook via Ionis), identifying and flagging important communications that could lead to new business.
- General Administration: Perform various general administrative tasks to support the daily operations of the business.
- CRM Data Entry: Summarize client call notes and accurately enter them into HubSpot CRM.
Required Skills & Qualifications:
- Language: Excellent proficiency in English is essential.
- Technical Aptitude: Must be tech-savvy and comfortable with various online tools and platforms.
- Attention to Detail: Highly detail-oriented with a strong emphasis on accuracy, especially when handling client-facing documents and data entry.
- Proactiveness: Ability to take initiative and manage tasks effectively with minimal supervision.
Desired (Nice-to-Have) Skills & Qualifications:
- HubSpot Experience: Previous experience with HubSpot CRM for smooth integration.
- Background: Experience as a receptionist or having worked for a legal firm could be beneficial, though not a non-negotiable.
