Overview
Our client is seeking a highly organized and proactive Operations Coordinator to oversee staffing coordination, scheduling, payroll support, logistics tracking, and operational system management across multiple business functions. This role is ideal for someone with strong operational discipline who thrives in structured systems, enjoys coordinating moving pieces, and can independently manage recurring operational workflows with accuracy and consistency.
Schedule:
- Monday to Friday, 9:00 AM to 6:00 PM, Richmond, CA time with a 1-hour unpaid break (40 hours per week/ 8 hours per day)
Responsibilities
- Manage staff scheduling and workforce allocation
- Coordinate shift confirmations, time-off requests, and staffing adjustments
- Maintain accurate staffing records, performance tracking, and scheduling reports
- Communicate scheduling updates and staffing changes to team members proactively
- Support payroll processing within QuickBooks Workforce
- Assist with labor costing and workforce reporting
- Ensure accuracy across scheduling, payroll, and operational systems
- Coordinate logistics workflows and trucking schedules for events
- Utilize dispatch/routing systems within GoodShuffle Pro (GSP)
- Track vehicle usage, maintenance schedules, and rental logistics
- Help resolve operational and delivery-related issues proactively
- Maintain accuracy across multiple systems, including QuickBooks, Workforce, Google Workspace, and GSP
- Create and maintain SOPs, operational workflows, and recurring process documentation
- Support long-term operational organization and process consistency
Requirements
- Strong experience with QuickBooks and/or QuickBooks Workforce
- Experience in staffing coordination, scheduling, operations, logistics, or workforce management
- Strong organizational and communication skills
- Ability to manage multiple moving priorities simultaneously
- Comfortable learning new systems and software quickly
- High attention to detail and process consistency
- Experience with logistics coordination or dispatching is highly preferred
- GSP experience is a plus, but not required
