Part-Time Virtual Assistant – Mortgage & Commercial Brokerage Support

Role Overview

The Virtual Assistant will play a key role in supporting brokers by managing administrative tasks, client follow-ups, and ensuring loan applications progress efficiently from submission through to completion.

This is a fast-paced role requiring strong attention to detail, initiative, and the ability to manage multiple tasks independently.

We are currently seeking a reliable and highly organised Part-Time Virtual Assistant to support mortgage and commercial brokers with day-to-day administrative and loan processing tasks. The role is focused on ensuring smooth workflow progression across client applications, documentation, and lender coordination.

Work Schedule

  • Monday to Friday
  • 12:00 PM – 5:00 PM (Adelaide Time)
  • Work From Home
  • Part-Time Position

Key Responsibilities

  • Provide day-to-day administrative and operational support to brokers
  • Follow up with clients for outstanding documents and bank statements
  • Track application progress and ensure timely completion of requirements
  • Prepare and send Letters of Offer
  • Send loan scenarios and enquiries to lenders
  • Update CRM systems and maintain accurate client records
  • Manage email correspondence and client follow-ups
  • Ensure all applications are progressing efficiently through each stage

Requirements

  • Prior experience in mortgage broking or commercial brokerage support is highly preferred
  • Strong organisational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently with minimal supervision
  • Comfortable working in a fast-paced, target-driven environment
  • Experience using CRM systems is an advantage

Bonus Skills

  • Experience with Australian lenders and lending processes
  • Knowledge of financial documents (bank statements, tax returns, BAS, etc.)
  • Strong experience in client follow-ups and email management
