Medical Administrative Assistant

Are you an experienced healthcare administrative professional who thrives in a fast-paced, patient-focused environment? We are looking for a highly organized and detail-oriented Behavioral Health Medical Administrative Assistant to join a growing healthcare practice supporting patients and providers with scheduling, insurance coordination, patient communication, and daily administrative operations.

In this role, you will play a key part in ensuring patients receive timely care by managing appointments, handling prior authorizations, processing copays, and supporting smooth day-to-day clinic operations. You’ll also work closely with providers while maintaining HIPAA compliance and delivering a professional, compassionate patient experience.

Schedule

  • 1 pm to 5pm PST; 20hrs per week

Responsibilities

  • Manage patient scheduling and respond to inbound inquiries in a timely manner to prevent missed leads
  • Process prior authorizations with insurance companies on behalf of the provider to ensure patients receive prescribed medications
  • Handle copay collections and track outstanding patient balances, following up as needed
  • Monitor patient attendance and flag no-shows to support appropriate discharge procedures
  • Prepare and process basic administrative documents such as sick notes for provider sign-off
  • Maintain light social media presence by posting on Facebook and Instagram to support patient acquisition

Requirements

  • Prior experience in a medical office, psychiatric practice, or healthcare administrative setting
  • Strong understanding of HIPAA compliance and ability to handle protected health information securely
  • Experience with EHR systems, specifically Tebra (Kareo)
  • Excellent English communication skills, both written and verbal
  • High level of attention to detail and ability to manage multiple administrative tasks independently
  • Familiarity with insurance processes including prior authorizations and copay workflows

Scope

  • Part-time (20 hrs/week) or full-time (40+ hrs/week), with afternoon shift preferred to cover missed morning calls
  • Administrative duties are the primary focus, with light social media posting as a secondary responsibility
  • Coordinate with the provider to ensure seamless patient communication and documentation
  • Track and report on key metrics including call follow-ups, patient balances, and appointment attendance
