Construction Receptionist & Scheduler
Role Overview:
We are seeking a professional and highly organized Construction Receptionist & Scheduler to serve as the primary point of contact for customers and support daily office operations.
This role is responsible for handling inbound calls, qualifying customer needs, scheduling appointments, and supporting internal coordination, ensuring every client interaction reflects the company’s high service standards.
Company Overview:
A fast-growing U.S.-based roofing and construction company specializing in roofing, siding, gutters, windows, and water mitigation services for residential and commercial clients. The company manages both insurance-based claims and retail projects, with a strong focus on customer service, operational efficiency, and long-term growth.
Schedule:
- Mondays to Fridays, 8:00 am to 5:00 pm (US Eastern Time, 40 hours per week)
Scope
- Serve as the front-line voice of the company during EST business hours
- Support inbound customer communication and appointment coordination
- Help maintain operational organization and customer satisfaction
- Work closely with office staff, field teams, and production coordinators
- Contribute directly to lead management, scheduling efficiency, and client experience

Key Responsibilities:
- Customer Communication & Scheduling
- Answer inbound calls and provide professional customer support
- Educate prospective customers on roofing, siding, gutters, windows, and related services
- Qualify inbound inquiries to determine insurance-based vs retail project needs
- Schedule and confirm appointments for field and production teams
- Conduct customer follow-ups and maintain strong communication throughout the process
- Administrative Support
- Maintain organized records of calls, customer inquiries, and follow-up activities
- Coordinate information and hand-offs between customers and internal teams
- Support day-to-day office and operational workflows
- Ensure all customer information is accurately documented and updated
- Systems & Operations
- Utilize phone systems and dialer platforms such as RingCentral, RingSocial, or similar tools
- Support efficient call handling and scheduling processes
- Adapt quickly to company systems, procedures, and communication workflows
Requirements
- Experience in a customer-facing or receptionist role supporting U.S.-based clients
- Exceptional English communication skills with a clear and professional phone presence
- Ability to manage high call volumes while maintaining professionalism and accuracy
- Strong active listening and problem-solving skills
- Close attention to detail and strong organizational abilities
- Ability to work independently in a fast-paced remote environment
- Comfortable handling both customer service and administrative coordination tasks
Highly Regarded Skills & Experience
- Experience within roofing, construction, home services, or related industries
- Familiarity with insurance-related service workflows or claims processes
- Experience with CRM systems, scheduling tools, or dialer software
- Background in appointment scheduling or dispatch coordination
- Previous remote work experience supporting U.S.-based businesses
