Xero Bookkeeper & Invoicing Administrator

Job Overview

Our client is seeking a reliable and detail-oriented Bookkeeper & Invoicing Administrator to support the day-to-day financial operations of their growing business. In this role, you will be the primary guardian of the company’s financial records, ensuring that the Xero accounting system remains accurate, up-to-date, and reflective of the business's current standing. This position is a blend of technical bookkeeping and proactive administrative coordination, ideal for a professional who thrives on organization and precision. You will play a critical role in maintaining healthy cash flow by managing timely invoicing and diligent payment tracking for an Australian-based clientele.

Schedule

Monday - Friday, 40 hours per week. Note: Flexible during client business hours (Sydney, NSW, Australia).

Responsibilities

  • Bookkeeping & Reconciliation: Maintain accurate financial records in Xero and perform comprehensive reconciliations of bank transactions, accounts, and financial data.
  • Invoicing & Billing: Prepare and issue client invoices with 100% accuracy; ensure all billing details are recorded properly and supporting documentation is organized.
  • Accounts Management: Assist with both accounts payable (AP) and accounts receivable (AR) tasks; monitor outstanding invoices and perform professional follow-ups on overdue payments.
  • Data Integrity: Handle sensitive financial information with the highest level of confidentiality and ensure all entries meet high standards of accuracy.
  • Administrative Support: Support general finance workflows and identify opportunities to improve existing bookkeeping and invoicing processes.
  • Reporting: Assist with payment tracking and provide updates to leadership on the status of the company’s receivables.

Requirements

  • Technical Mastery: Strong, proven working knowledge of Xero is essential for this role.
  • Relevant Experience: Solid background in bookkeeping, invoicing, or general financial administration.
  • Software Proficiency: Highly proficient in Microsoft Office (specifically Excel) and/or Google Workspace.
  • Communication: Excellent written and verbal English communication skills for professional client interactions.
  • Core Competencies: High attention to detail, exceptional organizational skills, and the ability to work independently to meet strict deadlines.

Qualifications

  • Previous experience supporting Australian businesses or professional service companies is highly preferred.
  • A basic understanding of Australian bookkeeping processes (e.g., GST treatment) is a significant advantage.
  • Proven ability to work effectively in a remote environment with minimal supervision.
