E-commerce Operations Assistant (Shopify)

We are seeking a highly organized and proactive E-commerce Operations Assistant to provide key operational and administrative support to the CEO and COO of a fast-growing e-commerce brand. In this role, you will manage leadership priorities, coordinate workflows across cross-functional teams, and handle day-to-day Shopify backend operations and reporting. This opportunity is ideal for a detail-oriented, resourceful professional with experience supporting e-commerce founders in a fast-paced environment.

Schedule

  • Flexible within 12 PM to 12 AM, PH Time (Part-time)

Responsibilities

  • Manage the calendars, priorities, inboxes, communications, and daily operational coordination for the CEO and COO to anticipate needs and proactively solve challenges.

  • Coordinate meetings, scheduling, and follow-ups across all internal and external stakeholders.

  • Support day-to-day Shopify backend operations, including product uploads, updates, order tracking, monitoring, and general system maintenance.

  • Maintain accurate product and operational data while collaborating with operations and customer support teams as needed.

  • Prepare, organize, and analyze data in Google Sheets to maintain reports and dashboards on sales performance, advertising performance, and operational metrics.

  • Coordinate communication and workflows across media buying, creative, operations, and fulfillment teams to track project progress and ensure departmental accountability.

  • Create, organize, and maintain SOPs and internal documentation to help improve operational workflows and systems for scalability.

  • Support leadership with data tracking, operational visibility, hiring coordination, and employee onboarding.

Requirements:

  • Previous experience supporting e-commerce founders, executives, or teams, ideally working with 7–8 figure e-commerce brands.

  • Strong understanding of e-commerce operations, backend workflows, and hands-on familiarity with Shopify.

  • Proficiency in Google Sheets and various reporting tools to organize and analyze business data.

  • Excellent written and verbal English communication skills, paired with strong organizational and time-management capabilities.

  • Highly proactive and resourceful problem-solver who can anticipate leadership needs before being asked.

  • Detail-oriented, process-driven, and comfortable managing multiple priorities with minimal supervision in a fast-paced environment.

  • Dependable, execution-focused individual with a strong sense of ownership and accountability when working closely with leadership teams.
