Administrative Assistant

Overview

We are seeking a proactive and detail-oriented Administrative Assistant to support a growing non-profit yoga organization. This role is ideal for someone who is organized, collaborative, tech-savvy, and confident in handling administrative tasks independently while supporting a small, mission-driven team. The ideal candidate is someone who takes initiative, communicates clearly, learns quickly, and is comfortable suggesting process improvements when appropriate.


Schedule:

  • Monday to Friday from 12:00 PM to 4:00 PM Pacific (4 hours per day, 20 hours per week) | Part-time

Responsibilities

  • Maintain and update Zoom links for classes, trainings, and events
  • Transfer and organize video files using Vimeo and related platforms
  • Update and maintain Kajabi LMS content
  • Manage and maintain Google Calendars and scheduling
  • Send e-documents to students for signatures and track completion
  • Support incoming emails for the training school and yoga studio
  • Perform minor website updates as needed
  • Assist with CRM-related administrative tasks using Freshworks
  • Support team members with administrative needs across departments
  • Assist with social media posting software and basic reporting tasks when needed
  • Help maintain organized systems and documentation across platforms

Requirements

  • Previous experience in an Administrative Assistant or Virtual Assistant role
  • Strong organizational skills and attention to detail
  • Excellent written and verbal communication skills
  • Ability to work independently and follow through on tasks efficiently
  • Comfortable learning new systems and workflows
  • Proficient or experienced with: Google Calendar, Zoom, Kajabi, Vimeo, Canva (for minor updates), and CRM platforms such as Freshworks
  • Ability to collaborate with a remote team and maintain professionalism in communication
  • Open to learning different aspects of the organization to support evolving team needs
