Administrative Assistant
Overview
We are looking for a proactive Administrative Assistant to serve as a right-hand support to the business owner, ensuring operational efficiency across scheduling, payroll, and compliance. This role offers direct impact within a growing business and the chance to expand your creative skillset into social media and video editing.
Schedule:
- Monday to Friday, 8:00 AM – 5:00 PM Eastern (includes a 1-hour unpaid break).
Responsibilities
- Scheduling & Follow-Ups: Manage appointments, meetings, and follow-ups using CoPilot CRM.
- Invoicing & Payroll Support: Process invoices, collect and verify hours for payroll, and ensure timely payments.
- Compliance Monitoring: Track and maintain due dates for taxes, vehicle registrations, inspections, and insurance renewals.
- Phone Support: Answer calls and provide assistance when the manager is unavailable.
- Social Media Posting (Bonus): Assist in posting and managing company updates on social media platforms.
- Video Editing (Optional Growth Skill): While not required, a willingness to learn video editing over time would be beneficial.
Requirements
- Experience with administrative tasks such as scheduling, invoicing, and compliance tracking.
- Familiarity with CoPilot CRM or a willingness to learn.
- Strong attention to detail and organizational skills.
- Excellent communication skills (both written and verbal).
- Ability to multitask and manage time effectively.
- Experience in social media management is a plus but not required.
- Willingness to learn new skills over time, such as video editing.
