Customer Service & Scheduling Assistant

Role Overview:

We are seeking a professional and personable Customer Service & Scheduling Assistant to serve as the primary point of contact for clients and support daily business operations.

This role combines customer communication, scheduling, administrative support, and light marketing assistance, making it ideal for someone who enjoys client interaction and thrives in an organized, fast-paced environment.

Schedule:

  • Mondays to Fridays, 9:00 am to 5:00 pm (US Eastern Time, 40 hours per week)

Scope

  • Serve as the dedicated front-line contact for customers
  • Support both inbound customer service and outbound follow-up activities
  • Assist with scheduling, renewals, and ongoing client communication
  • Contribute to the company’s online visibility and customer engagement efforts
  • Direct impact on customer experience, retention, and operational efficiency

Key Responsibilities:

  • Customer Communication & Scheduling
    • Handle inbound and outbound calls with a professional and friendly demeanor
    • Respond to customer inquiries via phone and email in a timely manner
    • Schedule and confirm service appointments and maintenance follow-ups
    • Conduct reminder calls, review requests, and customer follow-ups
    • Support renewals and maintenance agreement outreach efforts
  • Administrative Support
    • Maintain organized workflows, schedules, and customer records
    • Support daily operational and administrative tasks
    • Ensure accurate documentation and communication tracking
    • Assist with maintaining efficient day-to-day coordination between customers and internal teams
    • Assist with social media content creation and posting

Requirements

  • Previous experience as a receptionist, customer service, or virtual assistant role
  • Strong verbal and written English communication skills
  • Excellent organizational and multitasking abilities
  • Ability to learn business processes quickly and represent the brand professionally
  • Close attention to detail and reliability in a remote work environment
  • Comfortable handling both customer-facing and administrative responsibilities
  • Ability to work independently with minimal supervision

Highly Regarded Skills & Experience

  • Experience in maintenance, home services, or service-based industries
  • Experience with outbound customer follow-up or appointment confirmation
  • Comfort with social media content creation and basic digital marketing support
  • Experience supporting small business operations remotely
